FAQ – Controls
1. What happens when I close a control?
a. When a control is closed, the control will no longer be active. The control will not be included in the reports of outstanding controls. A closed control will be shown with its title crossed in the controls catalogue. It is possible to reopen the control if it needs to be used again. Controls needs to be closed, instead of deleted, if the history needs to be kept in the system. All types of users can close a control. Only administrators can delete a control. A closed control can be reopened.
2. How do I set the deadline and frequency?
a. When a control is created, the deadline is set by clicking on the date field in the top right corner. Set the date for the first time that the control needs to be performed. The time of day does also need to be chosen. The control will then in the future be performed on the same time of day.
b. You set the frequency of a control when you create it. You can set the frequency to the following: Daily, Weekly, Biweekly, Monthly, Biannually and Annually. The frequency is set in the bottom to the left in the data entry page of the control. When a repetitional frequency is set to, for example, monthly, it means that a new control is automatically created with a deadline precisely a month after the last deadline when the present control is performed.
c. Intended deadline. Choosing an intended deadline means that the deadline is automatically calculated from respectively number of workdays before or after the last day of the month. When this frequency is chosen, it is not possible to set the deadline manually.
3. What are time zones used for?
a. You can change the time zone of the control, so that the deadline and time corresponds to the country where the control is going to be performed. If you, for example, have offices in London, Denmark and China, you can set the deadline so that it corresponds to that specific country.
4. How do I use the administration in RISMAcontrols?
a. In the administration of RISMAcontrols, it is possible to create groups for controls. A group is created by clicking on the plus in the box with the wished title, and afterwards, you can give the group a name. The controls can separately be assigned to the groups. This is done in the data entry page of the control. The groups are used for pulling reports on different categories.
5. How do I ensure that the control is not placed in weekends or Non-working days?
a. When a control is set according to +/- workdays, the control will not end up in weekends or non-working days. Non-working days can be submitted in the general administration. Non-working days and days off can be created here.
6. How are Links to RISMAexecution used?
a. You can link a control to an initiative, if you have purchased RISMAexecution as well. By clicking on the plus next to the link to RISMAexecution, it is possible to search for specific initiatives. Link the initiative to control by clicking on the title of the initiative. The title of the initiative is now a link that leads directly to the initiative. You can, at the same time, see the control within the initiative that the control is assigned to.
7. How are Daily Team and Risma Board used?
a. Risma Board is a bulletin board within the control. It is possible to communicate internally without having the messages included in the reports.
b. By clicking on the plus next to Daily Team, you can assign the users or organisations that are working daily with the control. Users and users assigned to the (those) organisation(s) and to the daily team get an e-mail when a message is written in the Risma Board.
